General Data Protection Regulation 2018 (GDPR)


We are sure you have seen information about GDPR from other sources and received lots of emails and mail from companies about the storage and use of your personal data/information. The personal information of CVCS Supporters kept by the society is minimal, being just your email address in a single computer file. No other personal information is kept by any other means. Nevertheless, it is possible, in some instances, to identify the person from that information and so the society, to comply with GDPR, will be changing its processes.

 

We have made several attempts to contact the Information Commissioner’s Office to seek assistance. We are still awaiting answers to our questions, having eventually resorted to submitting them in an email. As it is still a fluid situation we will endeavoured to comply with the Regulation, but the following may be subject to change as the GDPR processes becomes more widely known and information about the regulation available.

 

 

We may however have the following information about you:

 

Email address – we have this because you gave it to us in order that we can send you the Societies communications and updates, and so that we can contact you about issues relating to your questions regard the societies programme.  Without it, you will no longer receive CVCS information and updates.

 

We currently store your email address details on an MSExcel spreadsheet which is password protected on a Memory Stick. In order to use that file to send you emails your email address is also kept separately in the same entitled, and protected MSExcel file on a single computer used by the Society’s Secretary (Membership). Your data will never be shared with any third parties.

 

Your email address within the password protected Memory Stick containing the societies email list will not normally be transferred to, or shared with, any other officer of the society without your express permission. In practice this means that should permission not be given then your email address will be permanently deleted from the file and no further contact from the society will be forthcoming.

 

All future emails will be sent to you using the Blind Carbon Copy (BCC) method such that only the reply address and (depending on your Internet Service Provider) your own email address will be visible.

 

The Society will contact you each year, immediately prior to its October Annual General Meeting (commencing October 2019) or at any other time, when it may become necessary to transfer the MSExcel computer file to a newly appointed Secretary (Membership) to confirm that you still wish us to retain your email address and receive CVCS information and updates. Should the transfer take place the old working file on the computer of the previous secretary will be permanently deleted and a new working file created on the new secretary’s computer.

 

At this point in time we hope you are happy for us to continue to retain this information, but if you no longer wish to receive any communication from us, please let us know as soon as possible by email to CVCS2017@outlook.com.
